The Organizing Committee of MInTech 2026 (the Organizing Committee) processes participants’ personal data for the purposes of conference administration, communication with participants, preparation of the program and certificates, and publication of conference materials.

1. What personal data we collect

Depending on the registration form fields completed and the submitted materials, we may process:

  • full name;
  • academic degree and academic title;
  • affiliation (place of work/study, position/department);
  • contact phone number;
  • e-mail address;
  • participation format, section, presentation title;
  • co-authors’ details (if provided);
  • uploaded abstract file(s) and any other data voluntarily included in the submission.

2. Purposes of processing

Personal data are processed in order to:

  • register participants and confirm receipt of the registration/submission;
  • compile the program (sections, presentations) and manage organizational communication;
  • prepare and issue electronic participation certificates;
  • prepare and publish conference materials (electronic proceedings and/or materials posted on the conference website).

3. Publication and what may be made public

Abstracts are published electronically on the conference website and/or in the electronic proceedings. Therefore, personal data contained in the submitted abstract may be publicly available, including:

  • author(s) name(s);
  • affiliation(s) (institution, position/department);
  • author(s) e-mail address(es);
  • title of the abstract/presentation, section, and any other information included by the authors.

The phone number is used only for organizational communication and is not published.

4. Legal basis

The legal basis for processing is the participant’s consent provided via the registration form and/or submission, as well as the necessity to organize and administer the conference.

5. Co-authors

If the corresponding author provides co-authors’ personal data, the corresponding author confirms that they have obtained each co-author’s consent for such data to be provided to the Organizing Committee and for the publication of the materials as submitted.

6. Access and third-party services

Access to personal data is limited to authorized members of the Organizing Committee/secretariat.

We may use Google services (Google Forms/Google Drive) to collect responses and store uploaded files. Processing within such services is subject to the provider’s terms and policies.

7. Retention period

Personal data are stored for the period necessary to prepare and run the conference and to archive conference materials. Materials published on the website may remain available as part of the public conference archive.

8. Participants’ rights

Participants may contact the Organizing Committee to:

  • access, correct, or update their personal data;
  • withdraw consent.

Please note that withdrawal of consent may make participation, inclusion in the program, and/or publication impossible. For materials already published, removal requests will be considered on a case-by-case basis, taking into account academic archiving requirements and technical feasibility.
